Overview
We’re looking for an Admin & Centre Operations Coordinator to support the smooth day-to-day functioning of our therapy centre. This role blends organisation with people’s care. You’ll manage schedules, billing, and communication, while also ensuring the physical space reflects our values — stocked, welcoming, and well maintained.
The role will begin 3 days a week, with a clear plan to expand to 6 days a week as client volume increases. We’re looking for someone open to growing with the Centre over time. This is not a micromanaged role. We value ownership, initiative, and pride in one’s work.
Key Responsibilities:
– Managing therapist schedules and room bookings
– Handling billing, invoicing, and payment follow-ups.
– Being a warm and clear point of contact for clients (via WhatsApp, phone, and email).
– Coordinating with therapists to ensure smooth communication.
– Monitoring and maintaining inventory (art supplies, pantry essentials, Centre needs)
– Overseeing cleaning staff and ensuring the space is well cared for.
– Identifying issues early and proposing practical solutions.
– Reporting to the Centre Lead (daily initially, moving to weekly once established).
Qualifications & Skills:
– Graduate in any stream.
– Prior admin experience is a plus, but not essential. Qualifications not necessary.
– Excellent organizational and communication abilities.
– Is motivated to learn and grow in the role.
– Takes pride in their work and the environment they help maintain.
This Role May Not Be the Right Fit If You:
– Prefer being told exactly what to do at every step.
– Tend to wait for instructions rather than taking initiative.
– Struggle with organization or follow-through.
