Overview

About LAFA

LAFA Books & Stationery is a handcrafted bookbinding studio based in Panaji and Caranzalem, Goa. We design, print, and hand-bind journals, notebooks, planners, and artisan stationery entirely in-house using responsibly sourced materials. Every product is made with intention — and we need our operations to reflect the same care.

About the Role

As our Accounts & Operations Executive, you will be the financial and operational backbone of the studio. You will own the day-to-day numbers — ensuring every rupee in and out is tracked, every material is accounted for, and every procurement decision is made with clarity and planning. This is a hands-on role that requires someone equally comfortable with a spreadsheet and a stockroom.

What You Will Do

Accounts & Bookkeeping

Maintain daily accounts — record all income, expenses, vendor payments, and customer receipts
Reconcile bank statements, petty cash, and payment gateway reports (Razorpay, UPI, etc.) on a daily and monthly basis
Prepare monthly P&L summaries and flag variances to the founder
Manage GST records, maintain invoice documentation, and coordinate with the CA at filing time
Track outstanding receivables from wholesale, consignment, and B2B clients
Inventory Management

Maintain real-time inventory records for all raw materials — paper, thread, cover stock, inks, binding supplies — and finished goods
Conduct regular physical stock counts and reconcile against system records
Set and monitor minimum stock levels to prevent production stoppages
Track material consumption per product and identify wastage or discrepancies
Maintain batch-wise records for handmade and recycled paper stock
Procurement & Budget Planning

Raise purchase orders for raw materials and consumables based on production schedules and stock levels
Research and maintain a vendor database — track supplier pricing, lead times, and quality
Negotiate with vendors for best pricing without compromising on LAFA’s material standards
Build and manage a monthly procurement budget; flag any overruns proactively
Plan seasonal inventory build-up ahead of peak periods (gifting season, festive orders, trade shows)

What We Are Looking For

1–3 years of experience in accounts, operations, or inventory management — preferably in a small business, studio, or retail environment
Proficiency in Tally, Zoho Books, or similar accounting software; comfortable with Excel / Google Sheets
Strong attention to detail — you notice when the numbers don’t add up and you don’t let it slide
Organised and self-driven — able to manage multiple tasks without daily hand-holding
Good communication skills for vendor coordination and internal reporting
Familiarity with GST basics is preferred; a CA background is not required but welcome
A genuine interest in craft, design, or the handmade space is a plus — you’ll be working in a creative studio and that context matters

What LAFA Offers

A close-knit, creative team environment in Goa
Direct exposure to all aspects of running a design-led small business
Room to grow as the business scales — this role can evolve into a Finance & Operations Manager position
Competitive salary commensurate with experience
